You can always tell when a workplace hasn’t been cleaned properly. It’s not just the bin that’s overflowing or the dusty shelf in the corner. It’s the air, the feel of the place. There’s a difference between somewhere that’s just tidy, and somewhere that’s actually clean—clean in a way that makes people want to show up, focus, and not leave with a sore throat or a sniffle.

A healthy workplace isn’t just a perk—it’s a basic requirement, and if the last few years have taught us anything, it’s that hygiene and health go hand in hand. Whether you’re running a five-person startup or a full office floor, having a solid cleaning checklist in place helps everyone breathe easier—literally and figuratively.

This isn’t about being obsessive. It’s about knowing what needs to be done, how often, and who’s responsible. So here it is: a real-world checklist for keeping your office clean, healthy, and not just “fine for now.”

Daily Tasks: The Non-Negotiables

An Office Cleaning Checklist

These are the bits that keep everything ticking over. Skipping them doesn’t seem like a big deal at first—but give it a week, and it’s very clear someone’s dropped the ball.

Desks and Workstations
• Wipe down surfaces with disinfectant wipes or a gentle cleaner (keyboards, phones, mousepads—especially if desks are shared)
• Empty personal bins and clear food wrappers or drink containers

Shared Equipment
• Sanitise photocopier touchpads, printer trays, and communal office supplies
• Wipe down handles, drawer fronts, and shared stationery holders

Kitchenette or Staff Kitchen
• Wipe counters, cupboard handles, and appliance surfaces
• Clean out the sink (you know the one—coffee stains and a rogue teabag floating around)
• Load, run, and empty the dishwasher (if there is one)
• Empty the rubbish and recycling bins
• Check and wipe the fridge handle

Toilets and Washrooms
• Clean basins, taps, and handles
• Disinfect toilet seats, flush buttons, and cubicle locks
• Refill soap, paper towels, and toilet roll
• Mop floors if needed (especially on rainy days)

Entrance & Reception
• Wipe front door handles and glass
• Tidy any flyers, post, or magazines
• Check the doormat or runner for dirt

Floors
• Vacuum high-traffic areas (main walkways, communal spots)
• Spot-mop any spills or stains

Weekly Tasks: The Things That Slip Through

These are the areas that often get skipped unless someone’s looking closely. But they build up. Slowly.

Deeper Desk Cleaning
• Dust under monitors and behind screens
• Clean the sides and legs of desks
• Vacuum underneath chairs and personal areas

Meeting Rooms
• Wipe down all table surfaces, chair backs, and light switches
• Clean AV equipment, remote controls, and shared keyboards
• Check for leftover handouts or coffee cups (there’s always at least one)

Kitchens
• Check inside the fridge—clear out forgotten food
• Wipe inside microwave, toaster, and kettle base
• Disinfect cupboard handles and drawer pulls

Floors
• Vacuum edge-to-edge, including corners and behind furniture
• Mop hard floors thoroughly, not just quick passes

Soft Furnishings
• Vacuum fabric chairs, benches, and any cushions
• Spot-clean visible stains
• Shake out and clean entrance mats

Monthly Tasks: The Difference Makers

These are the jobs that don’t scream for attention but really show up in how the space feels long-term.

Air Quality & Filters
• Check and clean air vents
• Replace air conditioning or purifier filters
• Wipe ceiling fan blades or extractors

High Surfaces
• Dust shelves, cabinet tops, and light fixtures
• Clean the tops of doorframes and high window sills

Deep Kitchen Clean
• Wipe inside cupboards (crumbs love to hide in corners)
• Clean behind appliances if they can be moved safely
• Sanitise bin lids and mop the floor under the bins

Tech Care
• Clean keyboards thoroughly (compressed air, anyone?)
• Wipe screens with the right cleaning solution
• Check communal tech cables and docking stations for grime

Walls & Doors
• Spot clean scuff marks or finger smudges
• Wipe down internal door handles and push plates

Seasonal or Quarterly Tasks

These don’t need doing often, but skipping them completely catches up with you. They’re also good to schedule during quieter office weeks.

  • Deep-clean carpets (especially in meeting rooms or staff break areas)
    • Wash windows—inside and out, if possible
    • Clean behind large furniture or filing cabinets
    • Empty and clean full storage units, reorganise supplies
    • Review and replace cleaning supplies that are expired or running low

Who’s Actually Doing It?

The Office Cleaning Checklist

This part matters. A checklist is only useful if someone knows who’s ticking it off. Whether you’re using in-house staff or a professional cleaning company, everyone should know what’s expected and when.

For smaller offices, having a rotating schedule where different people take care of basic daily tasks can work—provided people actually do their bit. But if you’re at the size where a cleaning service comes in, ask them for a task list. Go over it. Add anything that’s missing. Make it yours.

And if someone’s supposed to be refilling the hand soap every week, make sure they’re not just topping it up with water and hoping no one notices. (We’ve all seen it.)

Because people work better in clean spaces. Because health matters. Because it’s a lot easier to keep on top of small tasks than to fix a big problem later.

A clean office isn’t just about appearances—it’s about showing the people in the space that you value them. It’s also about avoiding sick days, low morale, and that faint but suspicious smell no one wants to mention.
